Office Manager Annual Position

Premier Racquet Clubs is the fastest growing new racquet company in Canada.  As the Office Manager for two clubs in Mississauga and Brampton, you will play a pivotal role in a very dympanic and growing company. You will be ensuring the smooth functioning of administrative operations. Your responsibilities will include managing office tasks, providing administrative support, and fostering positive relationships with club members and staff.

Salary: Competitive salary commensurate with experience

Schedule: 5 days a week, with the flexibility to roam one day every other week (catch up on admin etc.)(2 days one site-3 days the other site)(times of the shifts may rotate)

Key Responsibilities:

1. Administrative Support (manage and hire front desk teams):

  • Handle incoming calls, emails, and inquiries from club members, staff, and external parties.
  • Maintain organized filing systems for important documents, including membership records, financial reports, and correspondence.
  • Lead with scheduling appointments, meetings, and events for club management and staff.
  • Manage office supplies and equipment, ensuring adequate stock levels and coordinating repairs or maintenance when necessary.

2. Membership Management:

  • Process new membership applications and renewals, ensuring accuracy and timely completion.
  • Address membership inquiries and concerns promptly and professionally.
  • Assist with membership recruitment initiatives and promotional activities to attract new members.

3. Financial Administration (we can discuss details)

  • Assist with accounts receivable and payable tasks, including processing payments, issuing invoices, and reconciling accounts.
  • Prepare financial reports and assist with budgeting and forecasting activities as directed by club management.
  • Collaborate with the finance team to ensure compliance with financial policies and procedures.

4. Communication and Engagement:

  • Serve as a point of contact for club members, providing information, assistance, and support as needed.
  • Coordinate club communications, including newsletters, announcements, and social media updates.
  • Work closely with club management to develop and implement strategies to enhance member engagement and satisfaction.

5. Roaming Day Responsibilities:

  • On designated roaming days (every other week), take the opportunity to visit two clubs.
  • Engage with club members and staff, addressing any immediate concerns or inquiries.
  • Conduct facility inspections to ensure cleanliness, safety, and adherence to club policies and procedures.
  • Provide feedback and recommendations to club management based on observations and interactions during roaming days.
