Membership & Regional Development Coordinator

Job Description
The Ontario Tennis Association (OTA) is seeking a dedicated, outgoing and motivated individual who is interested in working in the non-profit sport sector. This position will appeal to students or graduates of a sport management, event management or marketing/communications program. The primary responsibility of the Membership & Regional Development Coordinator is to collaborate alongside OTA staff towards the promotion of community tennis programs and initiatives.

Key Duties

     1. CTL Administration:

  • Oversee day-to-day administrative tasks, including registration, match scheduling, venue coordination, and participant inquiries.
  • Ensure all administrative processes adhere to league rules and regulations.

      2. Technical Support:

  • Provide technical assistance to participants, league administrators, and venues regarding WTN Box Ladder software and match scheduling systems.
  • Troubleshoot and resolve technical issues promptly to maintain smooth league operations

      3. WTN Box Ladder & Tournament Planner Software Services

  • Implementation and Management
  • Coordinate club licensing for WTN Box Ladder and Tournament Planner SaaS with Tennis Canada.
  • Ensure seamless integration and provide technical support to OTA member clubs when required.

      5. CRM Management

  • Oversee the organization's Customer Relations Management (CRM) software system.
  • Maintain and update member profiles, event registrations, and service requests within the CRM database

     6. Event and Service Tracking

  • Coordinate the tracking of club membership events and services using the CRM platform.
  • Ensure accurate and timely recording of member participation, feedback, and engagement.

     7. Analytical Tool Development

  • Develop and implement analytical tools within the CRM system to assess member engagement, event success, and service utilization. 
  • Generate reports and insights based on CRM data to support strategic decision-making.

     8. Coaching Certification

  • Coordinating Coaching Courses: Manage the logistics and scheduling of coaching courses organized by the OTA & TPA across various regions in Ontario.
  • Event Planning and Execution: Assist in planning and executing events related to coaching courses, workshops, and membership development activities.
  • Communication and Collaboration: Facilitate effective communication and collaboration between regional stakeholders, course participants and facilitators.

     9. Marketing & Community Outreach

  • Supporting marketing initiatives for community outreach events like the National Bank Roadshow, National Bank Open Promo Code Contest, OTA booth at the National Bank Open, and other club services.


  • Enrolled in or completed a post-graduate program in Sports Management, Marketing, or related field.
  • Sports-oriented with a tennis background preferred.
  • Strong team player with excellent communication skills.
  • Detail-oriented and experienced in CRM software.
  • Friendly, energetic, punctual and reliable
  • Strong administrative and organizational skills
  • High level of attention to detail
  • Car is an asset

Job Duration

We are offering a contract position from May 21st to September 2nd, 2024, with the potential for extension based on performance. The role will require 35 hours per week and offers a competitive salary ranging from $18 to $20 per hour, commensurate with experience and qualifications.
